The Appointments module allows you to create appointment types and send automated text reminders to customers. Whether you are confirming scheduled meetings, sending check-in reminders, or managing recurring bookings, appointments keep your customers informed and reduce no-shows.

Create different appointment types to match the kinds of bookings your organization manages. Each appointment type can have its own reminder schedule and message content. Examples include consultation appointments, service appointments, check-ins, and follow-ups.

Attach a campaign reminder to each appointment type so that customers automatically receive a text message before their scheduled appointment. Reminders help reduce missed appointments and keep your schedule running smoothly.

Control when reminders are sent relative to the appointment time. You can configure reminders to go out hours or days before the appointment, depending on your workflow.

How to Use Appointments

Step 1: Create an Appointment Type

Navigate to Settings and locate the Appointments section. Click to create a new appointment type and give it a descriptive name that reflects the type of booking (for example, "Consultation" or "Service Appointment").

Step 2: Configure Reminder Messaging

Write the reminder message that customers will receive. Use personalization tags like {first_name} and include the relevant details — date, time, location, and any preparation instructions.

Step 3: Set Reminder Timing

Choose when the reminder should be sent relative to the appointment. Common options include 24 hours before, 1 hour before, or a custom interval.

Step 4: Assign customers

When scheduling an appointment for a customer, select the appropriate appointment type. The system will automatically queue the reminder message based on your configured timing.

How many campaign reminders can I have for each appointment type?

Each appointment type supports one campaign reminder. If you need multiple reminders at different intervals (for example, 24 hours and 1 hour before), create separate appointment types or use the follow-up message feature within your campaign.

Are appointment reminders counted toward my credit usage?

Yes. Each reminder message sent uses credits from your account balance — 1 credit for an SMS reminder or 2 credits for an MMS reminder.
